Position Summary:

This position requires the full understanding and active participation in fulfilling the mission of Saddleback Medical Center. The employee shall support Saddleback Medical Center’s strategic plan and participate in and advocate performance improvement/patient safety activities.

The Scheduling Lead will perform specific duties of a radiology representative and provide Lead assistance for the proper function of the Scheduling access department under the direction of the Director of Imaging Services. This includes training of the processing of new orders, imaging records management, scheduling of patients, report distribution, computer system utilization, and interaction with patients, physicians, and other hospital personnel. This position is responsible for coordinating communications activities between radiologist, radiology staff, other departments, nursing personnel and other caregivers, patients, visitors, and other customer’s service activity. Accountable for maintenance of physicians’ order entries, inbound and outbound call volume productivity.

Essential Functions and Responsibilities of the Job

  1. Documentation of medical records management and request for radiology records according to department and hospital policy.
  2. Demonstrates leadership, acts like a mentor for all clerical staff, ensure staff proficiency and they follow standard processes in Scheduling.
  3. Demonstrates through data productivity of scheduling inbound calls, outbound calls, and walk in patients in a timely and accurate manner.
  4. Demonstrates accuracy in productivity to input and retrieve physician referrals (orders) utilizing RIS, EMR, fax systems to assure patients access to appointments.
  5. Demonstrates proficiency of all system tools utilized to manage scheduling and medical records processes.
  6. Demonstrates training skills to manage onboarding of new hires and train in systems infrastructures, policies, protocols, in an effective and timely manner.
  7. Communicate in an appropriate manner to achieve highest customer satisfaction, answer calls expediently, efficiently, using effective tools such as AIDET (acknowledge, Introduce, duration, explanation, and thank you) interactions.

*Placement in the pay range is based on multiple factors including, but not limited to, relevant years of experience and qualifications. Minimum Requirements:

 

Experience

 

• Proficient in computer functions, data entry and windows is required.

• One year experience in radiology records and/or medical scheduling preferred.

• Knowledge and use of medical terminology is preferred.

 

Education

 

• High school diploma or GED equivalent preferred
